Digitalization in the Defense Sector Public-sector expertise for digital defense administration

Through end-to-end digitization, ]init[ streamlines administrative processes in organizations critical to national security. Our mission: to ensure the government’s ability to act through a modern, digital defense administration.

Seamless digital processes and highly automated end-to-end platforms play a crucial role in ensuring the Bundeswehr remains capable of acting in a changing security environment. This requires a culture of implementation. Political priority and better planning help in this regard. Yet the implementation itself remains challenging: numerous responsibilities, high pressure, and limited time. What is needed are solutions that launch quickly, grow steadily, and have an immediate impact.

Our focus: We integrate ready-to-use digital solutions into the Bundeswehr’s existing IT landscapes. In this way, we relieve the burden on the military administration and strengthen the ability to manage large administrative structures.

Digitalization in the Bundeswehr is not just a peripheral IT project. It is the foundation that enables the Bundeswehr administration to act quickly, reliably, and transparently. ]init[ provides all the necessary services from a single source. This end-to-end approach sets us apart from pure consulting firms and system integrators.

Unser Ansatz

01

Digitize with operational reliability

To ensure high operational stability and secure workflows, we are digitizing the Bundeswehr’s administrative processes using established platform solutions, robust interfaces, and XÖV standards.

02

Faster through reuse

Proven building blocks instead of developing new ones: This saves time, reduces project risks, and gets digital solutions up and running faster.

03

End-to-end process

We provide a one-stop solution and bridge the gap between concept and operation. We offer consulting, design, development, implementation, and operation all under one roof.

]init[ as a strong partner for non-military digital projects

Digitalization projects within the Federal Ministry of Defense (BMVg), BWI GmbH (BWI), the Federal Office for Equipment, Information Technology, and Use of the Bundeswehr (BAAINBw), and the Federal Office for Infrastructure, Environmental Protection, and Services of the Bundeswehr (BAIUDBw) place high demands on project management, implementation expertise, and information security.

With over 30 years of experience in public sector digitization, we bring everything to the table—for example, comprehensive expertise in portal and platform development, registry modernization, and the implementation of XÖV standards. Added to this is our proven track record in implementing information and service portals for government and public agencies.

Our Areas of Focus

  • Standardization: Faster rollout

When processes vary from department to department, making changes becomes costly. Standardization speeds up the process and enables comparability without losing touch with practical realities. ]init[ defines process models, data structures, and reusable building blocks in such a way that rollouts remain predictable and special cases are transparent.

  • Data quality: one source, one version

Without clean master data, digitalization quickly becomes a piecemeal effort. Inconsistencies lead to rework, shadow lists, and unnecessary reconciliations. Our motto: “Capture once, use many times” – using data models, clear data ownership, validations, and planned integration flows to ensure reliable control.

  • Interfaces: secure communication between government agencies

When systems operate in isolation, gaps and extra work arise. We develop robust interfaces and use established standards such as XÖV to ensure secure data exchange. This simplifies data reconciliation in HR and administrative processes—for example, when dealing with status and supporting documentation – without data discontinuities or duplicate data maintenance.

  • Military Administration: Less Bureaucracy, More Service

Many processes are governed by rules and require documentation. When processes get stuck “between systems,” the amount of manual work increases. ]init[ translates business logic into clear requests, straightforward validation routines, and transparent decision-making chains. This is how UX, content, technology, and organization work together.

  • End-to-end: seamless workflows

Delays often occur at the interfaces between the portal and specialized systems. This ties up resources and makes management more difficult. We develop end-to-end platforms with clearly defined roles, status checks, and built-in validation steps. Integration with existing IT systems and operational considerations are factored in from the very beginning.

  • Self-service: fewer follow-up inquiries during operations

Questions arise when there is a lack of clarity: regarding responsibility, missing information, or processing times. In large organizations, this problem can quickly escalate. ]init[ relies on portals and self-service tools that make processing statuses visible and explain requirements step by step. This reduces email back-and-forth and consolidates feedback directly within the process.

  • Compliance: built-in rather than added later

Documentation, audit trails, and deadlines are mandatory. If documentation has to be tracked down after the fact, the effort and risk increase. We design workflows so that traceability is built in automatically: logged decisions, version control, clear approval chains, and role- and permission-based models. Compliance becomes an integral part of the process.

  • Suitable for everyday use: Acceptance through utility

Adoption happens in day-to-day work, especially in secure environments. When solutions are unclear, work reverts to phone calls, emails, and paper. That’s why we design services so that user guidance, content, and technology work together seamlessly and operations remain stable. Prototypes help us test early and refine the system before rollout.

  • Healthcare: Interoperable and Reliable

Digital healthcare processes can help organize care more effectively across multiple locations. An electronic health record creates a shared database for treatment and documentation. Interoperability is key: when systems can exchange data reliably, workflows become more seamless. We design data flows, interfaces, and organizational structures to ensure they function effectively in practice.

From idea to launch in ten days

When setting up the Germany4Ukraine aid portal, things had to move quickly. With our extensive project experience in the public sector, we supported the Federal Ministry of the Interior and for the Interior (BMI) in this task in an agile and user-oriented manner.

The bridging assistance platform

A strong idea is worth nothing without a purposeful concept and innovative implementation. In the project, we implemented the central procedural platform for Corona economic aid from the federal and state governments on behalf of the Federal Ministry of Economics and Climate Protection (BMWK).
